Da Vinci Woodwork LLC
Effective date:
Da Vinci Woodwork is a custom cabinetry and millwork shop in Spring Grove, Illinois. This page explains, in plain terms, what information we collect through davinciwoodwork.com, how we use it, and the choices you have.
What we collect
Information you give us. When you send an inquiry through our website, we collect what you enter in the form. That can include your name, email address, phone number, preferred way to be contacted, city and ZIP code, and details about your project, such as the type of work, timing, budget range, and any links you share. If you are a contractor or designer, we may also collect your company name and role.
Files you attach
If you attach photos, drawings or documents to the contact form, they are uploaded from your browser to private storage at our cloud provider (Cloudflare). Nothing you upload is public; the files can be opened by Da Vinci Woodwork and by the providers that store and deliver them (Cloudflare for storage, Resend for sending email, Google Workspace for our mailbox). Photos and PDF files, up to about 20 MB in total, are also attached to the email copy of your inquiry that we receive; larger files and other file types stay in that storage and the email tells us they are there. We use your files only to understand and respond to your inquiry and, if we work together, to plan and build your project. We don't sell them, use them for marketing, or share them for any other purpose without asking you first. Files in the upload storage are deleted automatically 12 months after we close your inquiry, or 18 months after you sent them, whichever comes first; email copies remain in our business email like any other correspondence with you. If you'd like them deleted sooner, email [email protected].
Information collected automatically. Like most websites, ours receives basic technical information when you visit, such as your IP address, browser type, the pages you view, and whether you started or submitted a form. We use this to keep the site secure, stop spam and abuse, and understand how visitors use the site.
How we use it
We use your information to:
- respond to your inquiry and discuss your project, including drafting our replies with help from an AI tool (see How we use AI);
- prepare drawings, estimates, and proposals you ask for;
- run and improve our website and our business;
- protect the website against spam, fraud, and misuse;
- measure how well our website and advertising bring in inquiries.
We do not sell your personal information, and we do not share it for advertising. We do not add you to marketing lists without your permission.
Our inquiry app. We keep track of new inquiries in a private app of our own (it runs on Cloudflare and needs a sign-in). It holds only a short summary of each inquiry: your first name, your town, the type of project, where the inquiry came from (for example, our website or one of our ads), when you sent it, how many photos you attached, and whether you provided drawings.
How we use AI
We use an AI service from Anthropic to help us answer you sooner. When your inquiry arrives, the details you wrote about your project, together with your name, your town, how you found us and the budget range you chose, are sent to Anthropic's API, which drafts a first reply for us. Your email address, phone number and ZIP code are never sent. If you later answer one of our emails, your answer is handled the same way: the tool reads only your own email in that conversation (together with our message you are answering), not the rest of our mailbox, and drafts a reply for us.
The AI never sends anything to you on its own. A person at Da Vinci Woodwork reads every draft, changes it as needed, and decides what to send. Pricing, and whether we take on a project, are decided by us, not by the AI.
Who holds copies of your information
We use a small number of service providers. Each one holds a copy of some or all of your inquiry, and handles it only to provide its service to us:
- Cloudflare: website hosting; security and spam protection, including Cloudflare Turnstile, the spam check on our contact form (more below); the database where website inquiries are stored; private storage for any photos, drawings or documents you attach; our inquiry app; and a nightly backup of the inquiry database, kept privately for 14 days.
- Resend: sends the confirmation email you receive after you send an inquiry, and the brief that tells us a new inquiry has arrived (with any files you attached).
- Google Workspace: our business email, where those emails and the rest of our conversation with you are kept.
- Anthropic: the AI service that drafts our replies, as described under How we use AI. It receives your project details, name, town, how you found us and budget range (never your email address, phone number or ZIP code) and, if you answer one of our emails, that email.
Our mailbox reader also keeps, in Cloudflare, the sender address, sender name and subject line of emails sent to our business address (including your replies to us), so our inquiry app can show that a reply arrived. It never keeps the text of those emails.
The spam check on our contact form. Our contact page uses Cloudflare Turnstile to tell people from automated spam. It runs only on that page, and you see it as a small box on the step where you enter your contact details. To make the check, Cloudflare reads your IP address and technical details about your browser and its connection. Our page gives it nothing you type into the form. When you send your inquiry, the check adds a one-time code, and our system asks Cloudflare whether the code is good before it accepts your inquiry. Cloudflare says it uses these details to tell people from bots and to improve the check, not to identify, profile or target anyone. Cloudflare's Turnstile privacy notice: https://
Visit appointments. When you confirm a visit with us by email, we may put it on our business Google Calendar so the appointment is on our phone. We do this ourselves: we open a Google Calendar event that is already filled in with the date, the time, the address (or your town, if you have not given an address) and a short description, add your email address as a guest, and save it. Google then emails you the invite from our business address. If you accept or decline it, your answer shows on our event.
Google Analytics, Google Tag Manager and Google Ads conversion tracking also run on this website, as described under Cookies, analytics, and advertising.
We may also share information if required by law, or to protect our rights, our customers, or the public.
Cookies, analytics, and advertising
Our website uses Google Analytics, loaded through Google Tag Manager, which uses cookies and similar technology to help us understand how visitors find and use the site. We advertise through Google Ads, and Google Ads conversion tracking tells us when a visit from one of our ads leads to an inquiry.
If you arrive from one of our Google ads, we record the ad click code in your link, along with the page you landed on, and send it with your inquiry so we can measure whether our advertising works. It does not include your name, email or phone number.
Microsoft Clarity: we use Microsoft Clarity to see how visitors use the site (where they click and scroll, which pages they read), so we can improve it. Clarity masks all text on the pages it records. Microsoft's privacy statement: https://
You can limit this:
- block or delete cookies in your browser settings;
- install the Google Analytics opt-out browser add-on (tools.google.com/dlpage/gaoptout);
- manage ad personalization at Google's My Ad Center (myadcenter.google.com).
How long we keep information
We keep inquiry information as long as needed to respond to you, complete any work together, and keep normal business records. When it is no longer needed, we delete it or keep it only in a form that no longer identifies you. The nightly backups of our inquiry database are kept for 14 days and then deleted. Files you attach are deleted on the schedule described under What we collect.
Your choices
You can ask us to see, correct, or delete the personal information you sent us through the website. Email us at [email protected] and we will respond within a reasonable time.
Security
We use reasonable safeguards to protect your information, including encrypted connections (HTTPS) and access limited to the people who need it. No website or email system is completely secure, so please don't send sensitive information such as financial account numbers through our forms.
Children
Our website is meant for adults planning home or commercial projects. We do not knowingly collect information from children under 13.
Changes to this policy
If we update this policy, we will post the new version on this page and change the effective date above.
